I think most of you received the mail from
Toastmasters International on 5/15 about the proxy!
I was told that some presidents have encountered
some problems when sending the proxies.
I checked with WHQ and they admitted that
they were aware of the situation and and apologized
for the inconvenience and the technical support
team is working on it. It should be fixed shortly!
Those presidents could try again
later!
Now I list all the operation procedure (page 1, 2
& 3) as follows for your reference:

Dear Club President,
The Annual Business Meeting, where votes will be cast to elect the
international officers and directors to the 2010-2011 Board of
Directors, is coming soon. This year, the meeting will be held on
Saturday, August 14, at 7:30 a.m. at the JW Marriott Resort Desert
Springs Resort and Spa, Palm Desert, California, United States.
Toastmasters International clubs hold the most important voting
power in the organization, so it is important that you, as
president, process your club's proxy.
In the past, all club presidents received a proxy card in the mail.
In an effort to simplify the process, reduce costs and minimize the
environmental impact, hard-copy proxy cards will no longer be
mailed. Instead, this e-mail contains the proxy information unique
to your club.
We hope your club will be represented at the Annual Business
Meeting. The club can vote in one of three ways:
If a
member of your club is attending the Annual Business Meeting,
they may carry your club's vote as a delegate.
If
no one from your club is attending the Annual Business Meeting,
your club may designate the 2010-2011 district governor, or the
next senior district officer in attendance, as the club's
proxyholder.
If no one from your club is attending the Annual
Business Meeting, your club may choose, as your proxyholder, an
active Toastmaster from another club who is planning to attend.
To vote at the Annual
Business Meeting, your club must be in good standing. Your club may designate
its proxy by following these instructions:
Once
logged in, click on your Club Central page, then click on the
club proxy submission
link at the bottom of the page.
This
will take you to the proxy submission page.
Your club proxy number is: T4F8xxxxxxxxxxxxxxxxxxxx(請記住此授權書號碼)
If the club officers
have changed, please notify World Headquarters immediately by going
to the club business section of the Web site and making the
appropriate changes or e-mail the changes to
clubofficers@toastmasters.orgor call
Member Services at 949-858-8255.(若分會幹部已更改請進入此連結更改)
If
you need to order a duplicate copy of this e-mail, including the
log-in information, send your request to
duplicateproxies@toastmasters.org. (若需重寄此函請點擊此處)
It is
important that your club select someone to carry its votes. If no
one from your club plans to attend, be sure to designate a
proxyholder.
You are
confirming your club is naming the 2010-2011 district
governor, or the next senior district officer in
attendance, as its proxy.

Dear Club Presidents:
各位勞苦功高的分會會長們:
In the coming International Convention in the US
in Aug., the delegates from all over the world will elect the
leadership of TMI in the coming year. Among them, our past district
governor George Yen will run for the 2nd Vice President
of Toastmasters International. On behalf of District 67, I, along
with the in-coming LGET, Grace Shih and in-coming LGM Y. S. Liao
will cast the votes. However, we need to have your empowerment so
that we could cast the votes for you to vote for George!
Beginning this year, in an effort to simplify the
process, reduce costs and minimize the environmental impact,
hard-cop proxy forms will no longer be mailed to each club
president. On 5/15, TMI will send you the
official proxy notification via e-mail. Using the
Toastmasters Website, you could determine electronically who will
carry your votes!
